Job Description

Job Title: Executive Assistant

Location: Ortigas, Philippines

Department: Executive Support

Reports To: Executive Leader/Management Team

Job Purpose:
The Executive Assistant will provide high-level administrative support to executive leaders, ensuring seamless organization of meetings, documents, and presentations. This individual will be responsible for maintaining confidentiality, preparing reports, and coordinating tasks efficiently. The ideal candidate will be fluent in Mandarin (both written and spoken) and English, highly organized, professional, and capable of managing multiple responsibilities simultaneously. This role requires someone who can demonstrate leadership, critical thinking, and exceptional communication skills while handling confidential information and documents with the utmost discretion.

Key Responsibilities:
Provide comprehensive executive support, including organizing meetings, managing calendars, and scheduling appointments for senior leadership.
Prepare, proofread, and edit reports, presentations, and other documents to ensure clarity, accuracy, and professionalism.
Maintain and organize digital and physical filing systems for confidential and sensitive documents.
Communicate effectively in Mandarin and English, including drafting and responding to emails, correspondence, and reports for executives.
Ensure executives are fully prepared for meetings, providing necessary materials, agendas, and background information.
Handle administrative tasks such as travel arrangements, meeting logistics, and event coordination.
Support the preparation of business reports, presentations, and key documents for executive review and decision-making.
Protect confidentiality and manage sensitive information with discretion and integrity at all times.
Lead and coordinate the communication between executives and internal/external stakeholders, particularly those requiring Mandarin communication.
Assist with ad-hoc tasks and provide support for ongoing projects, especially in the energy sector.
Implement efficient systems for document management, data entry, and record-keeping to ensure smooth office operations.
Exhibit strong leadership in managing tasks, organizing workflows, and ensuring tasks are completed efficiently and on time.
Qualifications:
Education:
Bachelor's degree in Business Administration, Communications, or a related field.
Experience:
At least 2 years of experience as an Executive Assistant or in a similar administrative support role for senior leadership.
Experience in the energy sector is a plus but not required.

Skills:
Fluent in Mandarin (both written and spoken) and English, with excellent communication skills in both languages.
Highly organized with exceptional time management skills and the ability to prioritize tasks efficiently.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
Strong leadership skills with the ability to manage multiple tasks, solve problems, and make decisions effectively.
Excellent report preparation, editing, and presentation skills.
Ability to maintain confidentiality and handle sensitive documents with the utmost discretion.
