Job Description

Functions:
Responsible for administrative support, involvement in strategic planning, project management & operational coordination with the President /CEO. Acts as a liaison between the Executive and internal/external stakeholders. Conducts research to provide data analysis to support decision-making.

Here are some key responsibilities and qualifications typically required for a strategic executive assistant that we are looking for:

Calendar, Time, and Personal Finance Management:
Manage the executive's schedule, prioritize meetings, optimize time allocation and handles monthly finance report with top confidentiality.

Project Management:
Assist with planning, coordinating, and executing projects, often working with other teams or departments.

Strategic Planning:
Participate in strategic planning sessions and help the executive develop and implement business strategies.

Research and Analysis:
Conduct research and provide data analysis to support decision-making.

Communication:
Act as a liaison between the executive and internal/external stakeholders, manage correspondence, and prepare reports.

Travel Coordination:
Plan and organize business and personal travel, hotel and restaurant reservations for the CEO. Managing itineraries and accommodations.

Meeting Preparation:
Prepare agendas, take minutes, and follow up on action items.

Confidentiality:
Handle sensitive information with discretion and maintain confidentiality at all times.

Special Projects:
Assist with special projects as needed, which may involve working with other executives or departments.

Qualifications:
Bachelor's Degree in Business Administration, Communication or other related field
At least two (2) years of proven experience in a similar role preferably supporting senior executives
Preferably Female candidates
Has strong organizational and multi-tasking abilities
Has excellent written and verbal English communication skills. Mandarin or Fookien speaking is a plus.
Proficient in MS Office/Excel
Knowledge in project management tools like CRM, Cloud Services, SAP, MS SAAS is an advantage.
Must possess a strong personality in facing hurdles & operational challenges
Must be experienced in Business Writing
