Responsibilities
Client Specific Tasks:

Executive and Team Assistant Support

Executive support service
Ensure strong relationships are maintained with EAs/team coordinators
across all service lines to ensure consistency
Provide general administrative assistance with tasks such as filing, typing and document collation
Internal diary oversight and management - Proactive diary coordination and planning of schedules
Arrange & co-ordinate travel and accommodation bookings, make entertainment and hospitality arrangements
Manage the monthly reconciliation of credit cards
Manage expenses for Teams
Prepare reimbursements, document expenditure and maintain relevant documents to assist with regulatory requirements
Assist with internal & external meetings – room bookings, catering, equipment, IT, meeting materials and resources as required
Assist and coordinate some of the surveys ie: Employee offboarding administration (survey links, exit interviews, IT notification)
Documentation Responsibilities

Assist in formatting and creating of presentations and other documents
Re-create, modify and develop documents for Leadership Team, Board and other stakeholder
Proof-read and grammar checks of the above documents
Team Governance

Support the team by taking various meeting minutes and matters arising (actions) as directed
Teamwork

Ensure that the daily deliverables of the team are met.
Proactively support team members as required.
Work efficiently with the internal Trustee and Operations teams ensuring all processes and deadlines are followed accordingly

Requirements
Minimum 5 plus years experience in a similar role and virtual corporate environment
An understanding and appreciation of working in a role that will require the ability to multitask, prioritize deadlines and manage various stakeholders.
Experience working with highly confidential matters and the ability to maintain extreme confidentiality is imperative for this role
Advanced MS Office Suite application use – Word, Excel, PowerPoint
Proven time management, project management and organisational skills
Excellent written, verbal and presentation skills
Demonstrated understanding of client service in a professional environment will be well regarded and preferred
Strong attention to detail and accuracy
Mature, discreet and demonstrates sound judgement
No work schedule preference
Ok to work on site in Ortigas Pasig and Cubao
Salary:
₱60,000.00 Monthly
