Job Description
Key Responsibilities:
Executive Support:
Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, and arranging travel logistics.
Prepare and review internal and external communications, presentations, and documents as required by the CEO.
Manage daily schedules, prioritize appointments, and ensure smooth operations for the executive team.
Communication and Liaison:
Act as a liaison between the CEO, and other key stakeholders within and outside the organization.
Screen and direct phone calls, emails, and correspondence, ensuring that urgent matters are addressed promptly.
Coordinate with internal teams to gather necessary information for meetings and reports.
Meeting Coordination and Follow-up:
Organize meetings, including scheduling, preparing meeting agendas, and taking minutes.
Ensure timely follow-up on actions from meetings and ensure that deadlines are met.
Travel and Logistics:
Plan and coordinate travel arrangements, including booking flights, hotels, and ground transportation.
Prepare detailed itineraries for domestic and international trips for the CEO, ensuring all travel logistics run smoothly.
Document and Record Management:
Maintain accurate and up-to-date filing systems for confidential documents and records.
Handle sensitive and confidential information with discretion and professionalism.
Event and Special Project Coordination:
Assist in organizing company events, conferences, or team-building activities.
Support the execution of special projects or initiatives as assigned by the CEO.
Required Qualifications:
Education: Bachelor’s degree in Business Administration, Management, Communications, or related field.
Experience:
At least 3 years of experience in an executive assistant, administrative, or office manager role, preferably supporting C-suite executives (CEO, GM).
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
Skills:
Exceptional organizational and time-management skills with the ability to multitask and prioritize tasks effectively.
Excellent verbal and written communication skills in both English and Filipino.
Strong attention to detail and problem-solving skills.
Ability to handle confidential information with professionalism and discretion.
Ability to work independently with minimal supervision and anticipate the needs of the GM and CEO.
Positive and professional attitude with a proactive approach to handling tasks.
