Position: Executive Assistant
Location: Ortigas, Pasig

Your Role:
JOB RESPONSIBILITIES:
ADMINISTRATIVE SUPPORT
Maintain client accounts and perform general administrative tasks
Manage executive calendars and scheduling with attention to priorities and conflicts
Handle confidential information with discretion and professionalism
Act as a liaison between the executive and key stakeholders (sales, operations and outside providers)
Maintain organized filing systems for digital documentation
COMMUNICATION MANAGEMENT
Prepare reports, presentations, and correspondence on behalf of the executive
Draft and proofread emails, letters, and other business communications
Manage incoming communications and prioritize responses appropriately
Collaborate with internal departments to gather information for reports and presentations
TRAVEL & MEETING COORDINATION
Coordinate domestic and travel arrangements including flights, accommodations, and ground transportation
Prepare detailed travel itineraries with all necessary information
Schedule and organize meetings, conferences, and other events
Coordinate meeting logistics including room reservations, catering, and technical requirements
Follow up on meeting action items and ensure timely completion
STAKEHOLDER RELATIONS
Build and maintain positive relationships with internal and external stakeholders
Anticipate and address needs of clients and partners during interactions with the executive
Coordinate with sales and operations teams to ensure executive is prepared for client meetings
Maintain professional relationships with external service providers and vendors
OPERATIONAL SUPPORT
Assist with budget tracking and expense reporting for the executive
Coordinate document preparation for signatures and approvals
Research and compile information for special projects as needed
Assist with planning and execution of company events and initiatives
Proactively identify opportunities to improve executive efficiency and workflow
What You Need:
QUALIFICATIONS:
Bachelor's degree in Business Administration, Communications, or related field
1-3 years of experience as an executive assistant or in an administrative support role
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Experience managing calendars and coordinating complex travel arrangements
Strong written and verbal communication skills
