Job Description
The EA is responsible for:
CEO’s calendar
De-conflict schedules
Communicate often with CEO about the schedule
Ensure there aren’t too many meetings in a day
Send schedule to CEO every night before a work day (including Sundays)
Monitoring CEO’s email
Alert and update CEO of urgent emails
Respond on behalf of CEO when appropriate
CEO’s office phone
Monitor and answer all calls
Monitor and answer all text messages (same day response other than weekends)
Tracking tasks the CEO needs to complete
Block time on the calendar with notes
Meeting notes
Review meeting notes after each meeting
Taking action items and create tasks
Attend meetings and take notes as needed
Arrange and book travel as needed
Monitor and update CEO’s priority tracker
Quarterly energy audits for the CEO
Monthly goal review meetings
Keep all folders organized
Assist with projects as needed
Create and update a yearly tickler for items that need to be done routinely
EOS Quarterly meetings
Yearly meetings
License renewals
Document All Processes
Monitor communication and information in:
LinkedIn, Chat bots
Make purchases on Amazon as needed
Monitor work/life “balance”
Be aware of CEO’s marketing / content calendar and ensure the CEO completes these deliverables
Other duties as assigned
Drive process creation for Key CEO / EA processes and other business processes
Lead Special Projects
Results (Expected Accomplishments)
● Keeping a seamless and organized schedule for the CEO
● Maintain 24 hour response time or less for all emails asking for CEO reply
● Ensure 100% of meetings on CEO’s schedule have agendas (Outcome, Agenda, Output, who on call, etc.)
● Strive for 100% no conflicts on calendar and all resolved at least 48 hours prior (including personal events)
● Ensure consistent cadence for weekly communication
● Ensure at least 2x monthly date nights w/ Liz
Requirements (Expected Proficiency)
● Great at working with a team
● Experience supporting a high-level executive.
● Possession of exceptional organizational skills and a strong attention to detail.
● Superior written and verbal communication skills.
● Able to maintain a high degree of confidentiality in all situations
● Proficient in, google, and a major Plus if proficient in Smart Suite
● Ability to organize a priority based daily workload
● Able to meet deadlines in a fast-paced, quickly changing environment
● Proactive approach to problem-solving with strong decision-making skills
