Remote Staff, in partnership with JobsAvenuePH, is seeking a skilled and detail-oriented Admin Assistant to join our team. This is a full-time, work-from-home position, offering the opportunity to work with an Australian client.

Job Type: Full-time (40 hours per week)
Working Hours: Monday to Friday 8:30 AM to 5:30 PM Australian Eastern Time (6:30AM to 3:30PM Philippine Time)

Overview
The Client is seeking a proficient Administrative Assistant to join our team on a full-time basis, working remotely. This position will directly support our Client Account Manager in their day to day activities and support the business in other administrative functions.

The role demands a high degree of proficiency and attention to detail in managing schedules, documents, meetings and client data. Familiarity with standard business systems like Office and CRM are essential.

Role Description
The Administrative Assistant is responsible for providing operational, administrative and client-focused support to the Client Account Manager. The role involves managing daily administrative tasks, calendar and appointment scheduling, report creation, limited customer engagement and more.

The role will also provide wider support to the business such as minute taking, calendar management, prospective customer appointment setting, invoicing and other administrative tasks.

Key Responsibilities

Administrative Support
Schedule meetings, manage calendars, and send reminders for key deadlines.
Prepare and organise client-facing documents, presentations, and reports as directed.
Maintain accurate and up-to-date records in Zoho CRM.
Draft emails, proposals, and follow-ups on behalf of the Client Account Manager.
Provide basic administrative support to financial activities such as creating invoices or remittance notices.
Provide basic administrative support to company management such as preparing slides for company meetings or formatting documents.
Taking minutes for company and client meetings.
Operational Support

Coordinate with internal consultants and technical staff to gather data and updates required by the Client Account Manager.
Track the status of ongoing client projects and provide progress updates as directed.
Prepare and deliver status reports, ensuring accuracy and timeliness.
Monitor tasks, ensuring deadlines and priorities are consistently met.
Client Relationship Support

Draft and format client communication materials.
Handle basic client inquiries and escalate complex issues to the Client Account Manager.
Assist in onboarding new clients by ensuring documentation is complete and accurate.
Data Management and Analysis

Pull reports and analyse data to provide insights for the Client Account Manager.
Maintain and update business database systems (JIRA, Confluencer, Zoho CRM) with client and project information.
Process Improvement

Identify opportunities to improve workflows and operational efficiency.
Develop and implement standard operating procedures (SOPs) to streamline recurring tasks.
Business Development

Support the sales and marketing team with appointment setting activities such as calls and emails to prospective clients

Key Requirements

Education

Bachelor’s degree in Business Administration, Communications, Finance or a related field, or equivalent work experience.

Experience

2+ years in a similar support, administrative, or client-facing role.

Technical Skills

Proficiency with CRM tools (e.g. Zoho, HubSpot, Salesforce), Microsoft Office Suite or Google Docs, and project management tools (e.g. JIRA, Asana, Trello).

Strong written and verbal English communication skills.
High attention to detail and ability to multitask.
Basic data analysis and reporting skills (e.g. Excel, Google Sheets).

Team player with a customer-centric mindset.
Ability to work independently with minimal supervision.

Experience in a consulting, sales, or account management environment.
Familiarity with tools such as Slack, Zoom, and other collaboration platforms.
Knowledge of industry-specific tools/software (e.g. Adobe, Tableau, Xero).
