Job Description

1. Staff Supervision & Office Management
Oversee and manage the administrative team, ensuring efficient workflow and productivity.
Assign tasks, monitor performance, and provide coaching to staff members.
Implement and improve administrative policies and procedures.
Ensure office supplies, equipment, and facilities are well-maintained and operational.
2. Coordination with Head Office & Branches
Act as the primary liaison between head office and branches/facilities, ensuring smooth communication and execution of company policies.
Provide support to branch administrators regarding operational and compliance matters.
Ensure consistent implementation of administrative processes across all locations.
3. Billing & Fleet Insurance Management
Supervise and process billings and claims related to company fleet insurance.
Ensure accurate documentation and timely submission of claims.
Coordinate with insurance providers for policy renewals, claims processing, and disputes.
Maintain updated records of company vehicles, insurance policies, and claims history.
4. Permitting & Government Compliance
Oversee the application, renewal, and compliance of business permits, licenses, and government-mandated requirements.
Ensure compliance with local and national regulations concerning administrative and operational activities.
Maintain proper documentation of all permits, licenses, and compliance records.
Liaise with government agencies such as BIR, LGUs, SEC, DTI, and other regulatory bodies.
5. General Administrative Functions
Develop and implement efficient administrative procedures to support business operations.
Monitor budgets and expenses related to administrative functions.
Ensure proper document control and record-keeping systems.
Provide reports and updates to senior management on administrative activities.

Qualifications:
1. Bachelor’s degree in Business Administration, Office Management, or a related field.
2. At least 3-5 years of experience in administrative supervision, office management, or a similar role.
3. Strong leadership and people management skills.
4. Knowledge of fleet insurance processes, billings, and claims handling.
5. Familiarity with business permitting and government compliance requirements.
6. Proficiency in Microsoft Office (Excel, Word, PowerPoint) and administrative software.
7. Strong problem-solving skills and attention to detail.
8. Effective communication and interpersonal skills.
9. Ability to work independently and handle multiple tasks under tight deadlines.
