Job Description:
• As an Admin Supervisor, you will oversee the administrative team and manage the day-to-day operations of office facilities and services. You will coordinate repairs and maintenance, handle non-trade supplies, supervise the administrative staff, and ensure all administrative policies are strictly followed. Your role will also involve troubleshooting administrative issues, overseeing licensing and permits, and managing vehicle maintenance schedules. This is a leadership role requiring strong organizational and communication skills.

Key Responsibilities:

• Supervise and manage the administrative staff, including receptionists, utility personnel, and other support staff.
• Schedule and supervise repairs and maintenance for the office and facilities.
• Canvass and manage non-trade supplies to ensure cost efficiency.
• Monitor the condition and operations of both the Head Office and Branch facilities.
• Coordinate with contractors regarding construction or renovation projects and ensure timely completion.
• Supervise the processing of billings and claims from fleet insurance.
• Allocate GSD (General Services Department) tasks and services to respective staff.
• Handle the processing of licensing, permits, and other government requirements.
• Troubleshoot and resolve day-to-day administrative concerns or issues.
• Oversee the security and maintenance of the company’s CCTV system, including regular reviews.
• Attend to tools and equipment requests and ensure availability of supplies.
• Investigate incidents or issues affecting the workplace and provide resolutions.
• Ensure the strict implementation of administrative policies and procedures.
• Monitor and handle the renewal of vehicle and property insurance.
• Ensure that company vehicles strictly adhere to the designated preventive maintenance schedule.

Qualifications:

• Proven experience in administrative supervision or a related field.
• Strong leadership, organizational, and problem-solving skills.
• Ability to manage and motivate a team effectively.
• Excellent communication skills and attention to detail.
• Knowledge of facilities management, repairs, and maintenance coordination.
• Experience with licensing, permits, and government compliance.
• Ability to handle day-to-day administrative issues with efficiency.
• Proficient in Microsoft Office and other administrative tools.
• Ability to work independently and make decisions to ensure smooth operations.
