Job Description
1. **Greeting Visitors**: Welcoming visitors or clients, directing them to the appropriate person or department, and ensuring they feel comfortable.
2. **Answering Phone Calls**: Handling incoming calls, directing them to the correct individuals, and taking messages when necessary.
3. **Scheduling Appointments**: Managing appointment calendars, scheduling meetings, and coordinating with staff and clients.
4. **Handling Inquiries**: Responding to inquiries, either in person, over the phone, or via email, and providing information about the organization’s services.
5. **Clerical Duties**: Performing basic administrative tasks such as filing, photocopying, and handling correspondence.
6. **Maintaining the Reception Area**: Ensuring that the front desk and reception area are tidy, organized, and presentable.
7. **Handling Mail and Deliveries**: Receiving, sorting, and distributing mail and packages.
8. **Assisting with Office Supplies**: Keeping track of office supplies and ordering them when necessary.
A receptionist needs strong communication skills, a friendly and professional demeanor, and the ability to multitask in a fast-paced environment. Basic computer skills, including proficiency with office software, are also important.
