Job Description
Assist with the preparation and management of construction documents, including contracts, permits, RFIs, change orders, and reports.
Maintain organized project files, both physical and digital, ensuring all documentation is up-to-date and accessible.
Coordinate communication between site staff, subcontractors, suppliers, and internal departments.
Schedule meetings, site visits, and inspections; prepare agendas and take meeting minutes.
Track project timelines, deadlines, and deliverables using project management tools.
Support procurement by preparing purchase orders, tracking deliveries, and liaising with vendors.
Process time sheets, expense reports, and invoices for construction personnel and contractors.
Maintain office supplies inventory and order new materials as needed.
Handled incoming calls, emails, and correspondence in a professional manner.
Assist with health and safety documentation and compliance tracking.
Qualifications & Skills:
Bachelor’s degree preferred.
2+ years of experience in an administrative role, preferably in construction or a related field.
Strong organizational and time management skills.
Excellent verbal and written communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Ability to multitask and work under pressure in a fast-paced environment.
Knowledge of construction terminology and processes is an advantage.
