Job Description

STATUS: Part-time, 2 hours a day with the potential to move up to 4 hours per day

ROLE OVERVIEW

Our client, a dedicated psychologist specializing in trauma therapy, is seeking a highly organized and proactive Remote Administrative practice. This role is ideal for someone with strong attention to detail, excellent communication skills, and the ability to manage scheduling, invoicing, and email correspondence efficiently.

RESPONSIBILITIES

-Inbox Management: Organize and categorize emails, respond to inquiries, and flag important messages.
-Appointment Scheduling: Book and confirm client appointments via Halaxy, ensuring an optimized calendar.
-Invoice Follow-ups: Monitor outstanding invoices, send payment reminders, and track collections.
-Student Support: Assist in coordinating the schedule of a student psychologist, ensuring smooth appointment management.
-Basic Social Media Management (Optional): Upload posts and manage content on social media platforms (if within skill set).
-Communication Support: Engage with clients and organizations via email and WhatsApp to confirm bookings and payments.
-General Administrative Support: Assist with day-to-day operational tasks as required.

KEY QUALIFICATIONS

-Experience in administrative support, preferably in a healthcare or medical setting.
-Proficiency in Microsoft Office (Outlook, Word, Excel) and ability to quickly learn new software.
-Strong communication skills with confidence in following up on invoices and payments.
-Ability to work independently with minimal supervision.
-Prior experience with Halaxy or similar practice management software is a plus (training will be provided).
