Job Description

Job Summary: The Sales Secretary is responsible for performing routine administrative tasks such as drafting correspondence, organizing and maintaining both paper and electronic files, and providing information to callers.

Key Responsibilities:

Answer phones, provide information to callers, take messages, or transfer calls to the relevant individuals.
Greet visitors or callers, address inquiries, and direct them to the appropriate person or department.
Input and manage necessary information for documentation into the database.
Utilize computers for various applications like database management or word processing.
Operate office equipment, such as fax machines, copiers, and phone systems.
Set up and manage both paper and electronic filing systems, record and update information, and maintain documents.
Handle electronic mail systems and coordinate information flow internally or with other organizations.
Schedule and confirm appointments for stakeholders.
Manage and maintain scheduling and event calendars.
Compose, type, and distribute meeting notes, routine correspondence, and reports.
Complete forms according to company procedures.
Locate and attach appropriate files to incoming correspondence requiring replies.
Conduct searches for necessary information using resources such as the Internet.
Open, read, route, and distribute incoming mail or materials, and answer routine letters.
Review the work of others for spelling, grammar, and adherence to company formatting policies, and recommend revisions.
Make copies of correspondence or other printed materials.
Learn to operate new office technologies as they are introduced.
Arrange conferences, meetings, or travel reservations for office staff.
Qualifications:

Bachelor's degree in Business, Office Administration, or a related field.
Open to fresh graduates.
Previous experience in office administration or secretarial work is a plus.
Strong written and verbal communication skills.
Ability to quickly learn and adapt to new office and computer technologies is advantageous.
Job Type: Full-time
Pay: Php 20,000 – Php 23,000 per month
