Job Description
-The Employee Relations Specialist is responsible for maintaining positive employee relations, ensuring compliance with Philippine labor laws, and addressing workplace issues in a fair and consistent manner.
-The role focuses on fostering open communication between employees and management, resolving conflicts, and supporting the implementation of company policies and procedures.
Specific Responsibilities
Labor Relations Management
-Develop and maintain positive relationships with employees, management, and external stakeholders.
-Address and resolve employee concerns, grievances, and complaints promptly, ensuring a fair and transparent process.
-Work closely with management to address and resolve labor-related issues, minimize conflicts, and implement proactive solutions.
-Coordinate with the Legal Department to address labor-related complaints, including but not limited to SENA, DOLE complaints, and hearings, ensuring the company’s legal interests are protected.
-Conduct mediation sessions between employees and management to settle disputes amicably.
Compliance and Regulatory Management
-Ensure the company’s full compliance with Philippine labor laws, government regulations, and internal policies.
-Stay informed about updates and changes to labor laws and regulations and proactively implement necessary adjustments.
-Conduct regular compliance audits to assess adherence to labor standards and identify areas for improvement or corrective actions.
-Act as a subject matter expert to provide guidance on legal and regulatory requirements, ensuring the organization avoids any potential
violations.
Employee Communications and Training
-Design, develop, and deliver training programs to educate employees and management on labor relations, employment law, and company policies, reinforcing a positive and compliant workplace culture.
-Provide ongoing coaching and support to managers and supervisors on labor-related matters, focusing on understanding legal obligations and managing employee relations effectively.
-Establish communication channels for employees to raise concerns, ensuring they feel heard and supported.
Documentation and Reporting
-Maintain accurate and up-to-date records of employee relations activities, including employee separations, grievances, disciplinary actions, investigations, and resolutions.
-Prepare and submit timely and comprehensive reports to government agencies (e.g., DOLE), ensuring compliance with mandatory labor regulations.
-Oversee the resignation process, ensuring adherence to standard procedures, including verifying notice periods.
-Process and issue employment-related documents such as Notice to Explain (NTE), Return to Work Order (RTWO), Notice of Decision (NOD), Notice of Suspension (NOS), and Notice of Acceptance of Resignation (NOA).
-Ensure confidentiality and proper handling of employee records, maintaining the security of sensitive information.
-Develop and maintain dashboards or metrics to track labor relations trends and issues.
Additional Responsibilities:
-Monitor and evaluate the effectiveness of labor relations strategies and provide regular feedback to senior management on the status of labor issues.
-Act as a liaison between management and employees, ensuring smooth communication and fostering a positive work environment.
-Maintain up-to-date knowledge on industry best practices and emerging trends in labor relations to recommend improvements.
-Advise the People Department head and senior management on labor matters and offer strategic recommendations to mitigate risks related to employee relations.
QUALIFICATIONS
-Education & Experience
-Bachelor’s degree in Human Resources, Business Administration, Psychology, Legal Management, Political Science, or a related field.
-At least 2-3 years of experience in labor relations, employee relations, or HR compliance, preferably in a non-unionized setting.
-Strong background in Philippine labor laws, DOLE compliance, and handling workplace disputes.
-Experience in mediation, conflict resolution, or handling labor-related legal matters is a plus.
