Job Description
Position : BI & DOLE Documentation Specialist
Employment Status : Full-time/Regular
Compensation : PHP 20,000 (fixed amount)
Office Hours : 8am-5pm/Mon-Fri
Work Set Up : Work on Site
Location: On-site at our Philippine office in Westgrove Place, Malate, Manila (office-based role).
JOB SUMMARY:
As a BI & DOLE Documentation Specialist, you will prepare, organize, and track documents needed for immigration- and labor-related applications. You will liaise with government agencies (Bureau of Immigration, Department of Labor, etc.) or relevant service providers to ensure every client’s application is processed correctly and efficiently.
Compensation & Benefits
1. Basic Salary
- PHP 20,000 (fixed amount).
- For example, if your base salary is PHP 20,000, the performance bonus (described below) would be PHP 4,000 with full achievement.
2. Performance Bonus
- 20% of the basic salary.
- At a base of PHP 20,000, your bonus could be up to PHP 4,000 if performance targets are met.
- The company holds full discretion over the bonus. If monthly performance is below expectations, the bonus may be reduced or withheld.
3. Allowances (Halved Compared to Our Other Role)
- Housing Allowance: PHP 1,000 per month.
- Transportation Allowance: PHP 500 per month.
- Meal Allowance: PHP 500 per month.
4. 13th Month Pay
- A 13th month salary is provided, in accordance with company policy and local labor laws.
5. Government Benefits
- Mandatory contributions and coverage (SSS, PhilHealth, Pag-IBIG) are provided as required by Philippine regulations.

Key Responsibilities
Document Preparation & Management
- Draft official letters, fill out forms, and compile supporting documents for visa, work permit, or labor compliance processes.
- Maintain accurate records, ensuring all folders are complete and up to date.
Application Tracking
- Monitor each client’s application progress with government offices.
- Coordinate with relevant agencies if clarifications or updates are needed; inform clients or internal staff of required follow-ups.
Administrative Coordination
- Collaborate with internal teams (e.g., admin, finance) regarding payment of fees or verification of client information.
- Keep an organized system (both physical and digital) for all documentation to allow quick retrieval.
Expertise in Immigration & Labor
- Remain updated on the latest immigration and labor rules;
- Provide internal guidance on best practices for filing and compliance.
Client & Team Support
- Communicate with clients (or internal staff) on any additional documents needed.
- Handle day-to-day inquiries regarding application timelines or next steps.

Qualifications
Education & Experience
- At least a college diploma in Administration, Business, Law, or relevant fields.
- Experience in processing government documents (Immigration,
Department of Labor, etc.) is strongly preferred.
- Familiarity with Philippine labor and visa requirements is highly advantageous.
Technical & Administrative Skills
- Capable of drafting formal letters and preparing thorough application packets.
- Detail-oriented, ensuring all submissions are correct and complete.
- Competent with spreadsheets or document tracking systems.
Language Proficiency
- Fluent in English (spoken and written).
- Proficient in Tagalog for effective communication with local agencies.
- Other local dialects are a plus but not required.
Personal Attributes
- Highly organized, able to manage multiple client applications simultaneously.
- Proactive, able to spot and resolve potential issues early.
- Strong communication skills for liaising with both government entities and internal teams.
