Job Description
(ADMINISTRATIVE SUPPORT)
(Facility (Office Space) Management Support)
- Assisting with the communication between SYP and N&A in respect of office renovation, interior or IT works, specification, design, contract with construction company or service provider
- To cause N&A to check the conformity or consistency with N&A global requirements;
- To enable N&A to evaluate the cash flow or cash management
- Liaison with N&A in respect of lease terms, including rent and fees, deposit, insurance, term
- To enable N&A to evaluate the impact on the business plan and strategy (e.g. extension of lease or relocation of office by taking into account possible increase or decrease of headcounts) and cash flow or cash management
(Case Management Support)
- Draft or revise of an engagement letter, either in English or Japanese, and proofread the revised engagement letter
- Assisting with the collection of KYC documents from new clients
- Assisting with communication with clients regarding invoicing and payment matters, such as responding to inquiries about bank account details, payment currency, VAT, or payment receipts.
- Collaborate with staff at other offices to ensure that all necessary information for issuing invoices, including input of billable hours and correction of work description, is complete
- Assistance in timely data entry and responses by lawyers
If the invoice is required to be issued monthly or quarterly, the Support Staff will send a reminder to lawyers and check the data input status.
- Check data in 3E and other systems to support lawyers’ work
- To conduct a preliminary conflict check
- To check the accrued legal fees
- Support the communication with clients regarding the collection of legal fees, such as sending reminder emails to clients who have not paid their fees in a long time.
(Alliance Management Support)
- Assistance in announcing and coordinating N&A Group rules
- Assistance with visitors from other N&A offices, such as booking hotels and taxis, scheduling client appointments, organizing lunch or dinner meetings with the clients, and printing documents, agreements, or presentation materials for meetings.
- Respond to inquiries from Tokyo and other N&A offices or support coordination with relevant persons
- Administrative support for business trips from SYP and to SYP
- Translating documents into necessary languages
- Support for sharing information or consulting in advance with Tokyo to ensure appropriate support from Tokyo
- Supporting data collection from 3E for analysis of revenue and cost to evaluate and consider the result of the alliance or collaboration and to analyze future business action plans
(MARKETING ACTIVITIES SUPPORT)
- Increasing visibility of N&A through various activities, such as public newsletters, social media presence (LinkedIn) open webinars, networking, etc. in cooperation with the Tokyo BD team.
- Legal updates: Newsletters, business pitch materials for clients, updates for the Tokyo office
(LEGAL SUPPORT)
- Paralegal work, such as gathering information from the websites of Philippine government authorities, and tracking hot legal topics or incidents in local Philippine news media.
- Proofreading legal or non-legal documents.
- Refining Word or PowerPoint presentation materials
・At least 5 years of experience in admin, accounting, or any back office operations.
・Strong communication skills in Japanese.
・Has business-level of MS Office Skills (Excel, PPT, and Word)
・Preferably has experience in a law firm but not necessary
Interview: 2-3 interviews (online and F2F)
Work schedule: 8 am to 5 pm Mon - Fri
Regular employee after probationary period
