As we expand, we are seeking a dynamic, customer-focused, and detail-oriented Receptionist/Admin Assistant to join our team. This position will support our leadership in delivering exceptional service and ensuring smooth and efficient office operations.

Job Responsibilities:

A Receptionist / Admin Assistant is responsible for handling front-desk operations, managing administrative tasks, and providing support to various departments to ensure smooth office operations.

Key Responsibilities:

Front Desk Management:
Greet and welcome visitors in a friendly and professional manner.
Answer phone calls, direct them to the appropriate person, and take messages when necessary.
Manage incoming and outgoing mail and packages.
Administrative Support:
Perform general office duties such as filing, photocopying, and scanning documents.
Maintain office supplies and reorder as necessary.
Assist with scheduling appointments and coordinating meetings or events.
Document Management:
Prepare, organize, and file documents for easy access and retrieval.
Assist in maintaining digital and paper filing systems.
Customer Service:
Provide excellent customer service to clients, visitors, and staff.
Handle inquiries and resolve minor issues or direct them to the appropriate team member.
Office Organization:
Maintain the cleanliness and organization of the front desk and common office areas.
Ensure office equipment, such as phones, printers, and computers, is in working order.
Communication:
Communicate effectively with internal teams and external clients or partners.
Relay important messages or updates to staff as needed.
Support to Other Departments:
Assist other departments with administrative tasks as needed (e.g., preparing reports, organizing meetings).
Help with HR-related tasks like maintaining employee records or coordinating interviews.

Qualifications:

College Degree preferred.
Previous experience in an office or customer-facing role (e.g., receptionist, administrative assistant) is preferred but not required.
Strong communication and interpersonal skills.
Proficiency in office software (e.g., Microsoft Office, Google Workspace).
Organizational skills and attention to detail.
Ability to multitask and work in a fast-paced environment.
Professional demeanor and customer service skills.
