Job Description
The Sales Administrative Assistant supports the sales team by performing administrative duties, coordinating schedules, processing sales orders, and maintaining customer databases. This role helps improve sales productivity by managing documentation, communication, and customer inquiries.
Key Responsibilities:
Sales Support:
Assist the sales team with administrative tasks such as preparing sales reports, proposals, and presentations.
Process and track sales orders, ensuring all necessary documentation is complete and accurate.
Coordinate sales meetings, appointments, and travel arrangements for sales representatives.
Respond to customer inquiries, providing information or redirecting them to the appropriate sales representative.
Documentation and Data Management:
Maintain and update customer databases, including entering new customer information and updating existing records.
Prepare and distribute sales-related documents such as contracts, price lists, and marketing materials.
Track and maintain records of sales activities, orders, and customer interactions in the CRM system.
Communication and Coordination:
Serve as a point of contact between the sales team and other departments (e.g., marketing, finance, and customer service).
Communicate with clients to confirm order details, resolve issues, and ensure timely delivery.
Coordinate follow-up communications with prospective customers on behalf of the sales team.
Reporting and Analysis:
Assist in preparing regular sales reports and dashboards for management, highlighting key performance metrics.
Track and analyze sales data to identify trends and areas for improvement.
Support the sales team in preparing forecasts and sales targets.
Office Management:
Manage the sales department’s calendar and ensure timely scheduling of meetings.
Organize and maintain files, records, and documents in an easily accessible manner.
Order and manage office supplies for the sales team as needed.
