Job Description

We are seeking a highly organized and detail-oriented Executive Assistant to support our daily operations and ensure the smooth running of our office. The ideal candidate will have a strong background in QuickBooks and basic accounting principles, along with excellent problem-solving and planning skills.

Key Responsibilities:

Administrative Support: Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and handling correspondence.

Accounting Assistance: Utilize QuickBooks to manage financial records, process invoices, and assist with basic accounting tasks.

Project Coordination: Assist in planning and coordinating construction projects, ensuring timelines and budgets are adhered to.

Document Management: Maintain and organize company documents, contracts, and records.

Communication: Serve as a point of contact between executives, clients, and subcontractors, ensuring clear and timely communication.

Problem Solving: Address and resolve any issues that arise in the daily operations of the company.

Calendar Planning: Organize personal calendars, events, meetings, and other activities as needed.

Qualifications:

Proven experience as an Executive Assistant or in a similar administrative role.

Proficiency in QuickBooks and a solid understanding of basic accounting principles.

Exceptional organizational and time-management skills.

Strong problem-solving abilities and attention to detail.

Excellent communication and interpersonal skills.

Ability to multitask and prioritize tasks effectively.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Preferred Qualifications:

Experience in the construction industry or a related field.

Knowledge of project management software.
