Job Description

Position Overview:

The Junior Admin Supervisor is responsible for overseeing and coordinating administrative operations to ensure the smooth and efficient functioning of the accounting, audit, human resources, IT departments as well as field operations. He/She will assist in overseeing the admin departments, managing day-to-day tasks, and supporting the implementation of policies and procedures. Most importantly, to follow-up and follow-through active cases and update senior executives on progress and completion. This role requires excellent organizational and communication skills, along with the ability to handle multiple tasks efficiently.

Key Responsibilities:

1. Administrative Oversight:

Supervise and coordinate daily administrative activities within the departments.
Ensure tasks are completed accurately and on time.
Support the implementation and enforcement of organizational policies and procedures.
2. Team Supervision:

Assist in managing and mentoring junior administrative staff.
Assign tasks and monitor staff performance.
Provide guidance and training to improve efficiency and skillsets.
3. Documentation and Reporting:

Maintain accurate records, reports, and documentation.
Prepare and present administrative reports as required.
Assist in tracking departmental budgets, expenses, and inventory.
4. Communication:

Act as a point of contact for internal and external stakeholders.
Facilitate effective communication within the team and with other departments.
Address staff or client queries in a timely and professional manner.
5. Process Improvement:

Identify and recommend improvements to administrative processes.
Assist in streamlining workflows to enhance productivity and efficiency in all departments.
Prepare performance assessment of the admin team and seek out trainings.
6. Support Functions:
Handle general office duties, including scheduling, correspondence, and file management.
Support senior supervisors or managers in special projects or initiatives.

Qualifications and Skills:

-Diploma or bachelor's degree in Accounting or Engineering is preferred with 2nd preference to business administration and accounting management, or a related field.
-Proven experience in an administrative or supervisory role.
-Strong organizational and multitasking skills.
-Excellent written and verbal communication abilities.
-Proficiency in Microsoft Office Suite and office management software.
-Proficiency in social media management and branding.
-Leadership qualities with a proactive and problem-solving attitude.
-Ability to work both independently and as part of a team.

Work Environment:

This position typically involves working in an office setting with occasional requirements to attend meetings or events. Flexibility in working hours may be needed to meet deadlines.
