Job Description
Monitoring Stock Levels: The Purchasing Assistant regularly checks inventory levels to identify when new purchases are needed.
Researching Vendors: They conduct market research to find potential suppliers and evaluate their offers based on price, quality, and reliability.
Tracking Orders: The assistant is responsible for tracking orders from placement through delivery to ensure timely arrival of products.
Updating Records: Maintaining accurate records of all transactions, including dates, quantities, invoices, and discounts in internal databases is crucial.
Conducting Market Research: They analyze pricing trends in the market to make informed purchasing decisions.
Negotiating Prices: The Purchasing Assistant evaluates vendor offers and negotiates better prices to optimize costs for the organization.
Preparing Cost Analyses: They prepare analyses that help assess the cost-effectiveness of purchases.
Maintaining Invoices and Contracts: Keeping updated records of all invoices and contracts ensures compliance and facilitates future reference.
Liaising with Warehouse Staff: Collaborating with warehouse personnel ensures that products arrive in good condition and are properly stocked.
