Job Description

Job Summary:

We are seeking a meticulous and detail-oriented Documentation Assistant to join our maritime agency. As a Documentation Assistant, you will play a vital role in ensuring accurate and efficient handling of documentation related to vessel operations, cargo shipments, and regulatory compliance. Your primary responsibility will be to organize, process, and maintain various types of documents to support smooth operations and compliance with maritime regulations. The ideal candidate will have strong organizational skills, attention to detail, and a working knowledge of maritime documentation procedures.

Job Responsibilities:

Receive, review, and process a variety of maritime documents
Verify the accuracy and completeness of documentation, ensuring compliance with relevant regulations, industry standards, and company policies.
Organize and maintain physical and electronic filing systems for efficient document retrieval and archiving..
Collaborate with internal teams, such as operations, recruitment, and compliance, to obtain and provide necessary documentation and information.
Update and maintain databases and records with current and accurate information.
Respond to inquiries and provide assistance to internal and external stakeholders regarding documentation requirements and procedures.
Job Qualifications:

Bachelor's degree in Business Administration or a related field.
At least 6 months experience as a Documentation Assistant, Administrative Assistant, or similar role, preferably in the maritime industry.
Familiarity with maritime documentation procedures, including knowledge of vessel operations is preferred
Strong organizational skills with the ability to prioritize tasks and handle multiple responsibilities effectively.
Attention to detail and accuracy in handling documentation, ensuring compliance with regulations and quality standards.
Excellent communication skills, both verbal and written, to effectively interact with internal teams and external stakeholders.
Ability to work collaboratively in a team environment while also being self-motivated and proactive.
Adaptability to work in a fast-paced environment with strict deadlines and changing priorities.
Proficient in MS Office is a must
Willing to work full time on site
