Role Overview
The HR Admin Assistant will provide comprehensive support to the HR Administration team, Recruitment team, and the Project Management Coordinator in carrying out administrative, operational, and coordination tasks. This role ensures smooth day-to-day operations by maintaining organized records, facilitating communication, and assisting in employee-related processes.
Key Responsibilities
1. HR Administration Support
Respond to general HR-related inquiries, including payroll, contributions, loans, and other concerns.
Assist in organizing employee engagement activities, meetings, and events.
Handle purchasing tasks: canvassing, placing orders, and arranging pick-ups.
Maintain and update employee records for active, resigned, and floating employees.
Perform clerical tasks such as filing, encoding, and organizing HR records (e.g., Data Security Forms, Equipment Responsibility Forms).
Manage and monitor equipment inventory and expense records.
Support payroll processing and resolve payroll discrepancies.
Monitor basic hours, holidays, overtime, night differentials, allowances, bonuses, service incentive leaves, government benefits, loans, and 13th month pay.
Track and replenish office supplies and equipment as needed.
Conduct contract discussions with new employees when necessary.
Process and settle company bills (e.g., electricity, water, Pag-IBIG MP2).
Travel to other center branches as required.
2. Recruitment Support
Provide technical setup for recruitment activities, including PCs, headsets, webcams for interviews and onboarding sessions.
Assist in onboarding new employees.
Conduct background and employment verification in coordination with the US team.
Authenticate Certificates of Employment (COEs).
Perform employment verification and reference checks with previous employers.
Submit recruitment-related reports to the IU US team.
Coordinate interview schedules with candidates, ensuring accurate time zone conversions (Central Daylight Time to Philippine Time).
Communicate interview reminders, follow-ups, and next steps to candidates.
3. Project Management Support
Assist in attendance monitoring by following up with employees before their scheduled shifts (15–45 minutes in advance).
Report attendance and follow-up updates to the IU US team.
Qualifications:
Strong organizational and multitasking skills.
Good written and verbal communication abilities.
Proficiency in MS Office or Google Workspace tools.
Ability to handle confidential information with discretion.
Flexible to travel to different branches as needed.
