Job Description

1. Administrative Support
Manage and maintain executive’s calendar (appointments, meetings, events)
Screen and direct phone calls, emails, and correspondence
Prepare and organize documents, reports, presentations, and memos
Maintain and organize filing systems (digital and physical)
2. Communication Management
Draft, review, and send internal and external communications on behalf of the executive
Act as the point of contact between executives, staff, clients, and other stakeholders
Handle confidential or sensitive information with discretion
Represent the executive professionally in all communications
3. Meeting & Event Coordination
Schedule, organize, and coordinate meetings (virtual or in-person)
Prepare agendas, take minutes, and track follow-up actions
Arrange logistics for events, conferences, and off-site meetings
Liaise with participants and ensure all necessary materials are prepared
4. Travel & Itinerary Management
Arrange domestic and international travel (flights, hotels, transportation)
Prepare detailed travel itineraries and expense budgets
Handle travel issues such as rebooking, cancellations, or emergencies
5. Project Assistance & Task Management
Assist in project planning, research, and execution
Track progress and deadlines for executive-led projects
Coordinate with departments and teams to gather information and deliverables
6. Financial & Budgetary Support
Process reimbursements, invoices, and expense reports
Monitor executive’s or department’s budgets and spending
Coordinate with Finance team on approvals and payment processes
7. Office & Resource Management
Maintain office supplies and equipment for the executive
Coordinate with administrative teams for shared resources
Assist in onboarding of executive’s direct reports or new team members
8. Strategic & Advisory Support
Anticipate executive’s needs and prepare in advance
Provide summaries, briefs, or recommendations to aid decision-making
Stay informed about company priorities, goals, and confidential initiatives
Act as a gatekeeper and time manager, prioritizing tasks and access
9. Personal Assistance (as required)
Manage personal errands or appointments (if agreed upon)
Book family or personal travel, or assist with non-work scheduling
Handle personal document processing (e.g., visa renewals, insurance, etc.)
10. Leadership Support & Company Representation
Serve as liaison between executives and senior leadership or board members
May represent the executive in internal meetings
Uphold the company’s values and support leadership initiatives
Salary:
₱30,000.00 Monthly
