Job Description

PROJECT MANAGER/COORDINATOR

Remote | Work schedule must overlap with AEST & UK business hours
Part-time (32 hours/week), with potential to scale up to full-time (40 hours/week) Work to commence between August – September 2025

At Urban CGI, we craft high-end architectural visualisations that transform ideas into immersive visual stories. As our business continues to grow across regions, we’re looking for a tech-savvy, highly organised, and detail-focused Project Manager/Coordinator to support our global delivery and sales teams.

In this role, you’ll be the operational glue—ensuring projects are set up for success, aligned with budgets, and delivered smoothly across time zones. You'll play a key role in keeping communication tight, systems sharp, and data accurate from start to finish.

What You’ll Be Doing:

* Pipeline Support: Guide opportunities through our sales pipeline, ensuring all information is captured, structured, and accurately recorded.
* Budget Oversight: Assist the management team in tracking budgets and costs across each project phase.
* Time & Resource Monitoring: Review and monitor timesheets and staff utilisation, ensuring alignment with project scopes and billing targets.
* Lifecycle Management: Maintain complete and reliable data throughout the full project lifecycle—from sales handover to final closeout.
*Cross-Team Coordination: Facilitate smooth transitions between sales and delivery teams, ensuring clarity of expectations and deliverables.
*Project Closeouts: Perform post-project analysis, including budget reviews and performance metrics.
*Reporting & Process: Deliver accurate reports across teams and contribute to process/system improvements with the Commercial team.

What We’re Looking For:

*Proven experience coordinating projects across sales and delivery teams, ideally in digital, creative, or architectural industries.
*Proficiency in tools such as project management software, timesheet systems, and Hubspot (or other CRMs).
*Strong skills in data analysis, forecasting, or project reporting.
*Excellent digital literacy with the ability to quickly master complex software tools and data workflows.
*Highly organised and detail-oriented, with excellent prioritisation and communication skills.
*Comfortable working across multiple time zones, particularly AU and UK business hours.
*Bachelor’s degree in a relevant field such as Computer Science, Information Technology, Mathematics, Statistics, Economics, Business or any-related field.

Availability & Schedule:
*Start as a part-time role (32 hours/week) with the potential to grow into a full-time role (40 hours/week) based on performance and workload.
*Must have daily availability that overlaps both AEST and UK business hours to ensure effective coordination between teams.
