Job Description
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Material Procurement:
Assist in sourcing and purchasing construction materials, tools and equipment ensuring timely delivery to project sites.
Generate purchase orders for substitute items as needed, ensuring accuracy and obtaining approval from the requisitioning department.
Confirm the receipt of ordered items by comparing them to the purchase order and address any discrepancies or shipment errors that may occur.
Equipment Acquisition: Coordinate the procurement of construction equipment, machinery, and tools required for various projects, considering factors such as quality, price, and availability.
• Vendor Management:
Establish and maintain relationships with suppliers and subcontractors, negotiating prices, terms, and contracts to secure favorable agreements while maintaining quality standards.
Communicate with suppliers to place orders, monitor order status, and expedite deliveries as necessary to meet project deadlines.
Facilitate the payment process for purchases by forwarding received documents to the accounting department for processing payable invoices.
• Inventory Control:
Monitor inventory levels of construction materials and equipment, forecasting future needs and optimizing stock levels to prevent shortages or excess.
Assess available inventory items and delivery schedules to determine if requested items can be fulfilled from existing stock.
• Cost Analysis: Analyze pricing proposals, quotes, and bids from vendors to identify cost-saving opportunities and make recommendations to management for the most cost-effective options.
• Quality Assurance: Ensure that all purchased materials and equipment meet quality standards and comply with project specifications and regulatory requirements.
• Documentation and Reporting:
Maintain accurate records of procurement activities, including purchase orders, contracts, invoices, and delivery schedules.
Generate reports on purchasing metrics, budget utilization, and vendor performance as needed.
• Coordination: Collaborate with project managers, engineers, and other stakeholders to understand project requirements, anticipate procurement needs, and ensure timely delivery of materials and equipment to support project timelines.
• Compliance: Ensure compliance with company policies, procedures, and relevant regulations in all procurement activities, including safety regulations and environmental standards.
Qualifications:
*Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Commerce, or a related field.
*1-3 years of progressive experience in a Purchasing, Procurement, or Supply Chain role, preferably in construction.
*Proven ability to negotiate effectively and build strong vendor relationships.
*Strong analytical skills for cost analysis, supplier evaluation, and market research.
*Excellent organizational skills with meticulous attention to detail and accuracy in documentation.
*Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), particularly strong Excel skills for data analysis.
*Ability to work independently and as part of a team, managing multiple tasks and prioritizing effectively.
*High level of integrity, ethical conduct, and discretion.
*Knowledge of basic contract terms and conditions related to purchasing.
