Job Description

The Document Controller for Construction is responsible for the rigorous management, control, and distribution of all project-related documentation throughout the construction lifecycle, from tender to handover. To ensure the smooth and efficient operation of the site by overseeing and managing various administrative tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Documentation
• Responsible for capturing daily a minimum of 15 to 20 photographs of the scopes for each team. These pictures will then be shared in the official group chat of the designated project. Additionally, the Morning, Afternoon, and Overtime schedules will be regularly updated to ensure effective monitoring and attachment of accomplishments.
• Responsible for maintaining an inventory of materials and consumables on site.
• Assist in the billing process for the approval and consolidating billing requirements.
• Assist in updating of Key Plans for accomplishment monitoring.
Attendance
• Responsible for capturing a group picture of the team prior to commencing work. This task should be executed in real-time and promptly shared with the group chat.
• Monitor and maintain accurate attendance records of site employees.
• Track and report employee absences, tardiness, and leaves of absence.
• Collaborate with Team Leader/Members to address attendance issues promptly and effectively.
• Encode attendance and check the filed overtime request and overtime slip. Make sure every request and slip has the signatory of intended Team Leader.
• Responsible for personnel concern regarding dispute after payroll.
• Responsible to send through e-mail or to the official group chat the attendance of weekenders and regular employees to main office every cut-off.
• Lay down all disputes of personnel before cut-off and send to main office. (Provide necessary attachment like pictures).

Compliance and Documentation:
• Assist in the preparation of HR reports and documentation as required.
• Assist Technical Manager for Incidental report to be submitted to Main office.
• Coordinate to the HRD for the orientation of newly hired employees with regards to the rules and regulation of company as well as the code of conduct and operations.
• Coordinate to Main office (HRD) for the signing of the project contract of employee.
• Coordinate to Main office (HRD) before termination of Project based Contract.
• Provide recommendation or incidental report for Disciplinary action of personnel for any untoward behaviour. (Late, Absences, AWOL, Insubordination or grave offense).
• In charge for the receiving of the memorandums and inform the personnel about it, Then, secure that they are fully aware by acknowledging them thru receiving copy.
• Assist Main office (HRD) for the hiring of local employees with the approval of the Management.

Employee Concerns:
• Assist for any concerns and issues arises at the project site and coordinate to the main office.
• Conduct investigations into employee complaints and grievances.

Other
• Responsible for liquidation and reimbursement of petty cash. (if applicable
Salary:
₱14,000.00 Monthly
