Job Description
Duties and responsibilities:
Key Duties and Responsibilities1. Procurement Planning
Develop procurement strategies aligned with construction project schedules and budgets.
Coordinate with project managers, engineers, and site supervisors to understand material and equipment needs.
2. Supplier Sourcing and Evaluation
Identify, assess, and prequalify vendors and subcontractors.
Conduct market research to find the most cost-effective and reliable suppliers.
Negotiate terms, pricing, and contracts to secure the best value.
3. Tendering and Contracting
Prepare and issue Request for Quotations (RFQs), Invitations to Bid (ITBs), and Request for Proposals (RFPs).
Evaluate bids based on cost, quality, compliance, and delivery timelines.
Draft and manage contracts in line with legal and organizational requirements.
4. Purchase Order Management
Create and issue purchase orders (POs) and track their status.
Ensure timely delivery of materials and services to meet construction timelines.
Manage any changes or delays in orders proactively.
5. Cost Control and Budget Management
Monitor procurement expenditures against project budgets.
Identify cost-saving opportunities without compromising on quality.
Maintain records of all purchases for auditing and cost tracking.
6. Quality Assurance and Compliance
Ensure all procured items meet required quality standards and specifications.
Work with quality control teams to inspect deliveries and handle non-compliance or defects.
Adhere to local and international procurement regulations and construction industry standards.
7. Inventory and Logistics Coordination
Coordinate logistics and transportation of materials to job sites.
Liaise with warehouse and site teams to maintain optimal inventory levels.
8. Vendor Relationship Management
Maintain good relationships with suppliers for long-term collaboration.
Address vendor performance issues and resolve disputes as necessary.
9. Risk Management
Identify and mitigate procurement-related risks (e.g., price volatility, supplier reliability).
Develop contingency plans for supply chain disruptions.
10. Reporting and Documentation
Prepare regular procurement reports for management.
Maintain detailed procurement records for project transparency and future reference.
Educational Qualifications
Bachelor’s degree in Procurement, Supply Chain Management, Construction Management, Civil Engineering, Business Administration, or a related field.
A Master’s degree in a relevant field (optional but preferred for senior roles).
Work Experience
3–7+ years of relevant experience in procurement within the construction industry.
Proven experience managing construction materials, vendor negotiations, and large-scale project sourcing.
Technical Skills
Proficiency in procurement software (e.g., SAP, Oracle, Procore, or ERP systems)
Strong understanding of construction materials, equipment, and services.
Familiarity with tendering processes, contract law, and construction procurement regulations.
Competency in MS Office, especially Excel for cost analysis and reporting.
Soft Skills
Strong negotiation and communication skills.
Excellent analytical and problem-solving abilities.
Ability to manage multiple priorities under tight deadlines.
Team collaboration and stakeholder management skills.
