Job Description
Identify the company’s procurement needs in collaboration with project and operations teams.
Develop purchasing strategies aligned with business goals.
Forecast demand to maintain optimal inventory levels.
2. Supplier Sourcing and Management
Identify and evaluate potential suppliers based on quality, price, delivery, and service.
Maintain a preferred vendor list and build strong supplier relationships.
Negotiate terms and pricing with vendors to achieve cost savings.
3. Purchase Order Management
Prepare and issue purchase orders (POs) in accordance with company procedures.
Track and manage POs from issuance through delivery and payment.
Ensure all orders comply with company policies and contractual terms.
4. Budget and Cost Control
Monitor purchasing budgets and help reduce procurement costs without compromising quality.
Analyze market trends to anticipate material price fluctuations.
Review invoices and compare with POs and delivery receipts to ensure accuracy.
5. Contract and Compliance Management
Draft, review, and manage procurement contracts and service level agreements (SLAs).
Ensure compliance with company policies, legal requirements, and ethical standards.
Address and resolve any contractual disputes or supplier issues.
6. Inventory and Logistics Coordination
Coordinate with warehouse and logistics teams to ensure timely receipt and storage of goods.
Monitor inventory levels and ensure timely replenishment.
Assist in stock audits and reconciliations.
7. Reporting and Documentation
Maintain accurate records of purchases, pricing, and supplier performance.
Generate regular procurement reports for management review.
Analyze procurement data to identify opportunities for improvement.
8. Cross-Functional Collaboration
Work closely with finance, operations, project managers, and administrative teams.
Support project needs by ensuring timely procurement of necessary services and materials.
Participate in vendor evaluation and performance review meetings.
Educational Qualifications:
Bachelor’s degree in Procurement, Supply Chain Management, Business Administration, Logistics, or a related field.
A diploma or certificate in purchasing or supply (e.g., CIPS, CPSM) is often preferred or required.
Professional Certifications (optional but advantageous):
CIPS (Chartered Institute of Procurement & Supply)
CPSM (Certified Professional in Supply Management)
CSCP (Certified Supply Chain Professional)
Lean Six Sigma (for process optimization knowledge)
Experience:
2–5 years of experience in procurement, preferably in a service-based or outsourcing environment.
Experience with vendor management, contract negotiation, and purchase order systems.
Technical Skills:
Proficiency in procurement software (e.g., SAP, Oracle, Zoho, Coupa, or similar ERP systems).
Strong knowledge of MS Office (especially Excel and Word).
Understanding of inventory management and logistics coordination.
