Job Description

We are seeking a highly organized and proactive Executive Assistant / Procurement Specialist to support our leadership team. This role goes beyond traditional administrative tasks and requires someone with a strong understanding of product development and business development processes. You will help streamline operations, assist in research and strategic initiatives, and act as a liaison across departments, partners, and clients.

KEY RESPONIBILITIES:

Purchase Order Management
Preparation and placement of Purchase Orders (PO) with suppliers.
Shipment Monitoring and Logistics Coordination
Coordination with shipping agents and customs brokers to monitor shipment status and ensure timely
delivery.
Cost and Pricing Analysis
Conducting landed cost and suggested retail price (SRP) analysis to support pricing strategies and product
costing evaluations.
Supplier Relations and Coordination
Managing supplier communications related to inquiries, product sampling, FDA regulatory requirements,
cost adjustments, product development initiatives, and annual distributorship agreement renewals.
Executive Administrative Support
Providing comprehensive administrative assistance including preparation of reports, presentations, document management, file organization, and management of the executive’s calendar (meeting, appointment, and event scheduling).
Travel Planning and Itinerary Management
Preparing and coordinating detailed travel itineraries.
Supplier Sourcing and Comparative Analysis
Identifying, evaluating, and sourcing potential suppliers; preparing comparative analysis reports based on pricing, quality, and service offerings to support procurement decisions.

Qualifications:
Bachelor’s degree in Business Administration, Marketing, Product Management, or a related field.

2 to 3+ years of experience as an Executive Assistant, Product Assistant, or Business Development Assistant (or related role).

Familiarity with product lifecycle management and business development strategies.

Proficient in Microsoft Office, Google Workspace
