Job Description

The Executive Assistant will perform a wide range of administrative and executive support tasks, including managing schedules, coordinating meetings, and handling communication. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion.

Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
Prepare and edit correspondence, reports, presentations, and other documents as needed.
Handle incoming and outgoing communications, including phone calls, emails, and mail, ensuring timely responses and follow-ups.
Organize and coordinate meetings, conferences, and events, including logistics, agendas, and materials.
Take meeting minutes and distribute summaries, ensuring action items are tracked and completed.
Arrange complex travel itineraries, including flights, accommodations, and transportation.
Prepare travel expense reports and ensure timely reimbursement.
Assist with special projects and initiatives as directed by the executive.
Conduct research, compile data, and prepare reports or presentations for various projects.
Coordinate with other departments and external stakeholders as needed.
Handle sensitive and confidential information with the utmost discretion and professionalism.
Ensure that all confidential matters are managed appropriately.
Build and maintain positive relationships with internal and external stakeholders, including clients, vendors, and team members.
Always represent the executive office in a professional manner.

REQUIREMENTS:
Bachelor's degree in business administration, Communications, or a related field preferred.
Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role.
Exceptional organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.
Strong written and verbal communication skills, with attention to detail and accuracy.
