Job Description
Work Schedule: Monday to Saturday
Salary: ₱35,000 - ₱45,000
Job Summary:
The Executive & Administrative Assistant will be the primary point of contact between the executive team and internal/external stakeholders. This role involves managing schedules, coordinating meetings, preparing reports, handling legal and compliance matters, and overseeing office operations to support the organization’s leadership.
Key Responsibilities:
Executive Support:
- Manage scheduling for executives, including Board Meetings & Stockholders' Meetings.
- Organize and prepare materials for internal & external high-level meetings.
- Prepare executive presentations, correspondence, and minutes of meetings.
- Handle phone calls and communications for executives.
Administrative & Compliance:
- Process documentation and maintain company records.
- Establish corporate governance and quality management systems.
- Oversee application & renewal of insurances, business permits, and legal contracts.
- Coordinate with legal counsel for compliance and contract reviews.
Office & Travel Management:
- Handle office supplies inventory and procurement.
- Ensure maintenance of office equipment.
- Process visa applications and travel arrangements.
General Responsibilities:
- Develop policies & procedures for assigned tasks.
- Maintain confidentiality of company records and intellectual property.
- Perform other duties assigned by the CEO/COO/HR Manager.
Qualifications:
Education: Bachelor's degree in any Business-related course
Experience: At least 5 years of experience in a similar role
Skills & Competencies:
- Strong strategic thinking, analytical, and problem-solving skills
- Excellent time management, organizational, and multitasking abilities
- High attention to detail and resourcefulness
- Proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Strong communication and writing skills
- Professional demeanor and ability to maintain confidentiality
