Job Description

Job Summary:

The Order Management Specialist plays a critical role in ensuring the timely and accurate processing of orders while maintaining effective communication with vendors. This position is responsible for managing the order lifecycle, facilitating communication between internal teams and external suppliers, and ensuring the highest level of customer satisfaction.



Key Responsibilities

Order Processing:

Receive and review purchase orders for accuracy and completeness.
Enter and track orders in the order management system.
Coordinate order fulfillment with vendors to meet delivery timelines.
Vendor Communication:

Establish and maintain strong relationships with vendors to ensure effective communication.
Serve as the primary point of contact for vendors regarding order inquiries, updates, and issue resolution.
Communicate any changes in order status, delays, or issues to both vendors and internal stakeholders promptly.
Order Tracking:

Monitor and track inventory levels and order shipments to ensure timely delivery.
Provide regular updates to internal teams regarding order status and expected delivery dates.
Collaborate with logistics and warehouse teams to address discrepancies or concerns related to shipments.
Issue Resolution:

Proactively identify and resolve order-related issues, such as discrepancies, delays, and returns.
Collaborate with vendors to resolve any issues that arise and escalate as necessary.
Documentation and Reporting:

Maintain accurate records of orders, invoices, and vendor communications.
Generate reports on order status, vendor performance, and inventory levels for management review.
Process Improvement:

Analyze order management processes to identify areas for improvement.
Recommend and implement changes to enhance efficiency, accuracy, and vendor relationships.
Customer Support:

Respond to internal and external inquiries regarding order status, tracking, and vendor-related questions.
Assist the customer service team with order-related issues as needed.
