Job Description

The Systems Specialist acts as a lead person for proper implementation, maintenance and monitoring of Monde Nissin’s Distribution Systems in the local distributor operation. He or she ensures efficient data gathering, sales reports generation and consolidation of reports. Conducts distributor systems assessment on a quarterly basis in line with the company’s standard operating procedures.
INSTALLATION, DEPLOYMENT AND MAINTENANCE
System
Installation and support for sales distribution programs composed of:
Enterprise Resource and Information Control – ERIC 5.2
ERIC Executive Dashboard
ERIC Mobile Sales for Sales Force Automation (SFA)
Dos-Based: Facings, MNDS and SUBD
Business Mapper / CaptureMe and Tactic
VMI
Kustom360
Installation and deployment of the latest versions of Monde Nissin’s Distribution Systems across distributors per area
Ensures that MNC distribution team (including but not limited to CDS/CDM, etc.) and distributor personnel (including but not limited to Systems Point Person, DSIP, encoders, accounting, DSS/OM, etc.) are knowledgeable in using the latest version of the different sales distribution programs, as well as the SOPs associated with this, to conduct their necessary activities
Works with the software developer to test the program and fix all bugs in the software upon installation
Verifies data conversion of distributor data as part of pre-deployment procedures.

Infrastructure
Prepares and tests necessary hardware and software for deployment to the users across MNC distributors nationwide.
Assists in the testing and deployment of necessary hardware.
Checks and sets-up the distributor’s network infrastructure in collaboration with the distributor’s IT specialist, if any.
Sets-up the workstations in the distributor and ensures that each unit is fully functional and connected to the server via static IP address.
Configures equipment, workstations, cabling and network connections
Installs operating system and software applications
Maintains computers, servers, tablets, mobile phones, communication and network hardware and software applications

STANDARDIZATION
Establishes SOPs associated with the proper use of the distributor sales systems to ensure efficiency, accuracy and security.
Recommends improvements in existing SOPs to simplify processes and procedures
Maintains system master files and cascades this to the concerned parties

ENHANCEMENTS AND IMPROVEMENTS
System
Provides inputs to the software developer/system administrator for the continuous improvement and enhancement of the distributor systems (depending on the needs and requirements of MNC and its distributors).
Coordinates with software developer in case of errors/concerns with the distributor systems and ensures that these are addressed in a timely manner.
Coordinates with distributors for updates thru patch releases and verifies that all workstations are updated.

Infrastructure
Responsible in providing help desk support to MNC distributor personnel for the proper use and repair of equipment and peripherals related to the sales distribution programs
Troubleshoots hardware and network issues, forwards unresolved issues to the suppliers, and tracks the status of the issues until resolution
Records reported problems encountered, actions taken and final resolution of the issues

CONTROL AND MONITORING
Works with and trains internal and external customers on how to use the distributor sales systems. Cascades training materials to the corresponding personnel.
Repairs basic hardware defects and coordinates with the IT Technical Support Team for the repair of defective or damaged equipment
Maintains an inventory of all IT assets (including computers, tablets, mobile phones, printers, scanners and other equipment/peripherals)
Documents instances of hardware assignment (with Accountability Forms), failure, repair, pull-out, troubleshooting, installation and disposal
Assists in the evaluation, planning and recommendations for upgrades and other potential technology to address current and future needs and presents these to management.
Conducts remote and on-site troubleshooting/repairs as needed.
Handles and collaborates with MNC IT Infrastructure and Procurement for the purchase of annual MS Office and Anti-virus licenses for the distributors.
Ensures the execution the MS office license and anti-virus to the workstations of the distributors
Schedules and employs preventive system maintenance, as needed.

REPORTS
Creates and updates report templates for system enhancements and status for distributors.
Consolidates all the system reports to ensure timely, relevant and accurate access to information
Consolidates and reviews the following sales reports:
Area Customer Count on a Quarterly Basis
Area Facings Report on a Quarterly Basis
Level 3 Geo-tagging Database on a Quarterly Basis
Area SFA Status Report on a Weekly Basis
Area Systems Issues and Concerns Report on a Weekly Basis
Special Reports, as needed

SYSTEMS ASSESSMENT
Updates Systems Assessment components to adjust to changes in the SOPs.
Conducts Systems Assessments with the distributor personnel to check compliance to the SOPs on a quarterly basis.
Consolidates and reviews Systems Assessment of all distributors covered in the area.
Collaborates and works with the Systems Administrator in conducting systems validation and user’s acceptance test (UAT) of the systems enhancement

REWARDS SYSTEM
Validates distributor incentives based on approved targets and incentive schemes.
Coordinates with CDS/Ms for the changes needed upon verification of distributors incentives and aligns with National SAP and SPES

QUALIFICATIONS/REQUIREMENTS:

College graduate of Business, Economics, Industrial Engineering, Computer or other related courses.
Proficient in oral and written communication skills, able to use Microsoft Office Software programs in the presentation.
