Job Description
- Answer phone calls, respond to emails, and manage inquiries from clients and staff.
- Handle general office duties such as filing, scanning, copying, and data entry.
- Assist with preparing and maintaining branch-related reports, documents, and spreadsheets.
- Manage scheduling of appointments, meetings, and events.
- Ensure the branch is fully stocked with necessary office supplies and materials.
Customer Service:
- Greet clients and visitors, providing a welcoming atmosphere.
- Assist customers with inquiries and direct them to the appropriate departments or personnel.
- Ensure customer complaints and issues are addressed promptly and efficiently.
Record keeping and Documentation:
- Maintain accurate records of transactions, customer details, and other business documents.
- Prepare and update reports related to branch operations, sales, and staff performance.
- Ensure the confidentiality and security of all branch records.
Finance Support:
- Assist with invoicing, processing payments, and maintaining financial records.
- Help with the preparation of financial reports and budgets.
Inventory Management:
- Monitor stock levels of office supplies and other branch-related materials.
- Ensure that any necessary orders are placed in a timely manner.
Team Support:
- Provide administrative assistance to branch managers, supervisors, and other staff members.
- Coordinate with other departments to ensure smooth workflow and communication.
Compliance and Safety:
- Ensure that branch operations comply with company policies, industry regulations, and safety protocols.
- Maintain a clean, organized, and safe working environment.
Qualifications:
College graduate in Business administration or any course related.
Proven experience in an administrative or office support role is a plus.
Strong organizational, time-management, and multitasking skills.
Good communication and interpersonal skills.
Basic knowledge of office software (MS Office Suite, email, etc.)
Attention to detail and the ability to work independently.
Previous experience in customer service is a plus.
