Job Skills And Qualifications:

-Graduate of any 4 year course.
-At least 3-5 years or more professional experience in a similar role.
Advanced Excel capabilities.
-Highly organized with attention to detail.
-Ability to multitask, prioritize and deliver results on time under pressure.
-Flexibility to meet continuously changing priorities and challenges.
-Good written and verbal communication skills.
-Ability to work independently and as part of a team.
-The Executive Secretary is responsible for providing advanced, diversified, and often confidential secretarial support to the President & CEO and Chief Financial Officer. The Executive Secretary is also responsible for the delivery of business reports and presentations.
-To make sound fact based judgement, to work out multiple alternative solutions and determined the most suitable one, to be more productive, help increase savings, decrease errors, and be a more valuable asset to our executive and our organization

Functions : {Duties and Responsibilities}

-Assist and act in confidential capacity to the President & CEO and Chief Financial Officer in providing advanced and diversified secretarial support which includes email management, calendar management, and overall management of the day-to- day operation of the executive office
-Attend Management Committee meetings, take minutes, and monitor the progress of action items identified therein
-Coordinate on-site and off-site meetings and events including logistical requirements with Procurement Head.
-Coordinate local and foreign travel requirements such as flight booking, accommodations, and transportation in coordination with Procurement
-Act as a central liaison point for communication between the local, regional, and global Management Committee members and their direct reports thereby ensuring harmonization.
-Screen telephone calls, field enquiries, and proactively manage requests
-Collates, puts together, and finalizes presentation materials and reports of confidentiality in nature such as monthly business highlights, annual report, budget, etc. in coordination with the Management Committee and various unit heads.
-Collaborates with the Head of Strategic Planning and Project Management on all strategy-related requirements.
-Produce general correspondence and ensure proper information dissemination.
-Monitor deliverables and submission of required reports from various point
persons.
-Manage all documents for approval and prioritize according to urgency
-Maintain a proper filing system of hard documents and soft library of
reports/presentations originating from and incoming to the office of the PCEO
-Manage the receipt and payment of invoices.
Resolve administration issues by identifying and coordinating solutions in a timely
fashion
