Job Description

Job Summary

The Admin Officer is responsible for evaluating, recommending ideas/ programs to improve the smooth operation of all processes under Administration, Procurement, Warehouse Inventory and Logistics and perform other tasks that may be required by the management team.

Responsibilities

1. Office Administration
- Ensure the proper upkeep and maintenance of services, including amenities, utilities, and equipment, in accordance with company standards for safety, cleanliness, and orderliness.
- Plan and coordinate administrative procedures and systems, devising ways to streamline processes.
- Monitor facilities and maintenance activities, including goods and services, and support the identification and implementation of relevant business improvement initiatives.
- Plan scheduled maintenance activities to ensure the optimal utilization of utilities, facilities, equipment, service vehicles, and other office equipment

2. Procurement
- Lead and manage strategic and tactical sourcing, negotiation, contracting, and supplier performance management to deliver cost-effective solutions.
- Devise and implement fruitful sourcing strategies.
- Discover profitable suppliers and initiate business and organizational partnerships.
- Track and report key functional metrics to reduce expenses and improve effectiveness.
- Perform risk management for supply contracts and agreements.
- Anticipate alterations in the comparative negotiating ability of suppliers and clients.
- Identify and evaluate potential suppliers to ensure the availability of items and smooth operations.
- Ensure that policies and procedures are implemented per company processes.
- Strategize to find cost-effective deals and suppliers.
- Maintain complete and updated purchasing records, data, and pricing in the system.

3. Warehouse Inventory
- Maintain receiving, warehousing, and distribution operations by initiating, coordinating, and enforcing program, operational, and personnel policies and procedures.
- Analyze data to anticipate future needs.
- Assist in creating policies and procedures for item codes.
- Maintain the physical condition of the warehouse by planning and implementing new design layouts, inspecting equipment, issuing work orders for repairs, and requisitioning replacements.
- Support the purchase and management of assets, inventory items, and other goods and services.
- Meet warehouse operational standards by contributing warehouse information to strategic plans and reviews, implementing accuracy and productivity measures, and resolving issues.
- Monitor expenditures, identify variances, and implement corrective actions to meet warehouse financial standards.
- Complete warehouse operational requirements by scheduling and assigning employees and following up on work results.

4. Logistics
- Ensure that the right products are delivered to the correct location on time and at a good cost.
- Improve logistics processes to monitor and maintain the transportation of products.
- Assess and recommend ideal shipping methods, routing, or carriers to meet necessary parameters, specifications, and costs.
- Plan or implement improvements to internal and external logistics systems and processes.
- Analyze the financial impact of proposed logistics changes, such as routing, shipping modes, product volumes, or mixes.
- Ensure the efficient delivery of finance and human resource matters, as well as other departmental business.
- Supervise the work of logistics personnel and staff.
- Review global, national, or regional transportation or logistics reports for ways to improve efficiency or minimize the environmental impact of logistics activities.
