Job Description
• Calendar Management: Maintaining and prioritizing the executive's schedule, scheduling meetings, appointments, and travel arrangements.
• Communication Management: Answering and directing phone calls, managing email correspondence, drafting and editing documents on behalf of the executive.
• Meeting Coordination: Preparing agendas, distributing meeting materials, taking minutes, and following up on action items.
• Travel Arrangements: Booking flights, hotels, and transportation for business trips, managing travel itineraries.
• Document Preparation: Creating presentations, reports, and other documents as needed, including proofreading and formatting.
• Expense Reporting: Tracking and submitting expense reports
• Confidentiality: Handling sensitive information with the utmost discretion.
• Office Management: Ordering office supplies, managing filing systems, coordinating office events for the executive.
• Project Support: Assisting with special projects as assigned by the executive.
• Client/Stakeholder Interaction: Greeting visitors, managing interactions with clients and external contacts.
Required skills for an Executive Assistant Secretary:
• Excellent communication skills: Both written and verbal, including the ability to effectively interact with individuals at all levels
• Strong organizational skills: Ability to prioritize tasks, manage multiple projects, and meet deadlines
• Proficiency in Microsoft Office Suite: Including Word, Excel, PowerPoint
• Attention to detail: Ensuring accuracy in all tasks and documents
• Discretion and Confidentiality: Maintaining privacy regarding sensitive information
• Adaptability and Flexibility: Ability to adjust to changing priorities and work demands
