Job Description

Job description

The Purchasing Officer is responsible for the outsourcing of materials needed in the daily operations of the company. Sourcing out of other possible suppliers of items and services is conducted to prevent any delays in case one of the suppliers cannot fulfill the requested orders considering the best and cost-effective choice of items. Further, the Purchasing Officer provides assistance in the ordering of products and services and making sure it is delivered that result in achieving customer satisfaction and continuous improvement of processes.

Duties and Responsibilities:

1. Prepares purchase order and job order request.

2. Coordinates with suppliers regarding terms of payment.

3. Receives and verifies purchase request

4. Cascades information regarding supplier’s allocation request

5. Prepares list of items for pick up, drop off and for purchase.

6. Issues of ordered items.

7. Forwards PO to accounting with mode of payment of PDC, Check Payment, Deposit Payment

Prior Pick-Up, and other details.

8. Records purchased items in excel report such as Purchased Item Using Check, Petty Cash and Purchases Relief.

9. Requests certificates from different suppliers, such as Certificate of Analysis, Letter of Guarantee, Food Grade Certificate, among others, as needed.

10. Answers inquiry from suppliers

11. Prepares Disbursement Report and Petty Cash Reconciliation Report

12. Prepares Month-end reports such as Summary of Purchases, Petty Cash, Cash advance, Monitoring and Month-End Summary Report.

13. Performs other duties/tasks that maybe assigned from time to time.

Job Requirements/Competencies:

Academic/Professional Qualifications:

College Graduate preferably Science Related Course ( BS Food Technology or any business course)

Relevant Experience:

With at least three years of relevant working experience in purchasing.

Skills/Competencies:

§ Technical

o Knowledgeable in basic laboratory testing

o Knowledgeable in operating basic laboratory equipment

o Knowledgeable in GMP, HACCP, Quality Management System, Food Safety and Quality Assurance

o Knowledgeable in Food and Beverage Manufacturing Operations

o Analytical and research oriented

o Computer literate (Microsoft Office applications and other computer related basics)

o With good oral and written communication skills

o Resourceful, organized and systematic
