Job Description

2. Preparing initial inspection report and service order for the tanker/ delivery van/ service vehicle
to be forwarded to Mechanic for repair or preventive maintenance schedule.
3. Provides timely updates to the supervisor and Fleet Viber group regarding the status of the
vehicle under repair.
4. Assist supervisor in maintaining a database of all repairs and maintenance performed on fleet.
5. Maintain and adhere to a Preventive Maintenance Schedule including but not limited to tires,
battery, filter, change oil, etc. for Fleet to be coordinated with the President.
6. Maintain a database of all permits necessary for the operation of Fleet, and
ensure its timely renewal (LTO Renewal, Conveyance Permit, Hazardous Waste Transporter
Permit, etc.) with the assistance of liaison staff
7. Maintain a database of Insurance Policies for fleet, and ensure its timely
renewal with the assistance of Admin staff.
8. Preparing and filing of Daily Departure and Arrival Checklist of Fleet.
9. Conduct visual checking on Fleet prior to departure and upon arrival to see if
everything is in good condition (external appearance only), prepare an incident report if there
are new dents and damages, to be done together with the driver, helper and mechanic.
10. Ensure road worthiness of Fleet prior to departure from the garage.
11. Informing assigned Driver/Helper for the delivery schedule and delivery Line up with the
corresponding agreed departure time.
12. Ensure that the assigned Driver/ Helper are present for the scheduled trip, in case of any
changes in the driver/ helper line up or departure schedule, immediately notify the Fleet Viber
Group.
13. Preparation of Trip and Delivery Budget, Authority to Load Documents for Plant pick up/
loading, trip ticket and delivery entry requirements at Client site.
14. Conduct Weekly Inventory for tools issued by the Company to respective logistics personnel and
prepare an incident report for the missing or damaged items.
15. Ensure that Logistics personnel are wearing complete and proper PPE prior to delivery to the
customer site.
16. Liaise with various local government units/ agencies regarding new regulations covering truck
ban, color coding, etc.
17. Canvassing and requisition of quality parts, accessories, consumables necessary for repair and
maintenance of South East Groups Fleet
18. Create incident report for any issues that affects South East Group's fleet operations negatively
to be forwarded to HR and President.
19. Preparing daily updates regarding the status of deliverables assigned to the Operations
department.
20. Work closely with other departments regarding the transfer of inter office business documents
21. Responsible for requesting fuel allocation for LPG tankers.
22. Perform or witness the refueling of fleet with approved Fuel Request Form
and ensure accuracy and correctness of the approved refuel quantity
23. Ensures that the Fuel inventory is sufficient to meet the operational activities of Fleet by sending daily dipstick and fuel receipt report to the accounting department.
24. Ensures that the Fuel inventory is sufficient to meet the operational activities of Fleet by sending a timely request of replenishment of Fuel inventory to the accounting
department and President.
25. Conduct a daily toolbox meeting to remind logistics personnel on safety, best practice, new local
government regulations, truck ban, or any issues that may arise during the performance of
delivery, etc.
26. Create and maintain a proper filing system for easy retrieval of logistics records
27. Practice Safety First Mentality at all times
28. Complies with all prescribed policies and procedures of the Company on safety and security.
29. Report any fraudulent or suspicious activities to HR and President immediately
30. Adheres to the provisions of the Company's Code of Conduct & Discipline.
31. Other tasks that may be assign from time to time.
