We are looking for an Executive Assistant to partner with APAC COE leadership to provide administrative and operational support, while also contributing to projects that help drive business priorities and strengthen team collaboration and morale.

This role sits in the APAC COE Communications, Recognition, Engagement, Wellbeing, and Management Support (CREWS) team but will also provide support to the APAC COE Leadership team. The main responsibilities of an EXECUTIVE ASSISTANT include:

Manage sophisticated calendars using Google Calendar including vetting, prioritizing, and providing recommendations
Help ensure the leader is properly prepared and on time for all meetings
Provide administrative support to senior leadership and the team including handling internal meetings
Have a specialized understanding of the leader's business priorities and structure calendar cadence to support long-term business objectives
Lead event planning and logistics coordination for team meetings, APAC planning, leadership summits, and QBRs
Create end to end APAC wide events such as All Hands, Leadership Summit, etc.
Create APAC-wide or site-wide communication plans and high level presentations for various audiences
Make occasional domestic and international travel arrangements and process travel expense reports based on direction from traveler
Draft detailed travel itineraries and provide remote assistance with logistics and travel arrangements with input from traveler, including visa processing
Arrange and keep track of the team’s travels; keep track of team members’ vacations
Assist with ensuring the timely review and submission of expenses
Cultivate relationships and manage stakeholders outside of the team
Opportunity to lead special people and organization related projects within the COE
Work on other tasks such as deep dives and small scale projects as assigned
To apply, you must be an expert on the following requirements:

Minimum 2+ years of administrative experience
Bachelor's degree or equivalent practical experience
Advanced Google Suite experience (Mail, Calendar, Docs, Sheets, Slides, Groups)
Advanced Zoom host/admin experience
Excellent written and verbal communication skills and ability to collaborate with internal and external stakeholders
Demonstrated ability to prioritize leaders' calendar with ability to make judgment calls and decisions based on rapidly shifting priorities
Experience working in a fast paced, often changing environment with efficiency and accuracy
Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight
Strong organizational skills with a strong attention to detail
Strong interpersonal skills and ability to influence and motivate people at all levels across a broad variety of job functions
Excellent stakeholder management across different levels of the organization
Experience with budget management
High integrity and ability to work with confidential information
It will also be favorable if you are knowledgeable in:

Minimum 2+ years experience supporting a VP-level leader in any sized business or a Director-level leader in a global business for EABP I role
