Job Description
1.Pre-qualification and Tender Document Preparation:
*Assist in the preparation of pre-qualification and tender documents for potential contractors and suppliers.
Conduct thorough research to gather and collate relevant information for inclusion in these documents.
Review and proofread documents for accuracy and completeness.
2. Construction Contract Preparation:
Support the preparation of construction contracts in collaboration with legal counsel, project managers, and other relevant stakeholders.
Ensure that all contractual terms and conditions are clear, enforceable, and beneficial to both parties.
Collaborate with different departments to ensure alignment and compliance with company policies and standards.
3. Notice to Proceed (NTP) Requirements and Monitoring:
Collate and coordinate the necessary requirements for contractors to receive the Notice to Proceed.
Review and monitor contractor performance against contractual obligations and milestones.
Prepare weekly reports for management regarding project progress, contractor compliance, and potential risks.
4. Contract Administration and Management:
Establish and maintain a comprehensive matrix of contract details, including key timeline milestones, payment terms, and project specifications.
Assess and manage claims and change orders through diligent documentation and negotiation.
Ensure timely review and approval of contractor's deliverables, such as variations, request for information, and progress reports.
Attend coordination meetings with project teams, contractors, and suppliers to address contractual issues and resolve disputes.
5. Closeout and Project Documentation:
Prepare closeout documents for completed projects, including final account statements, as-built drawings, and warranties.
Ensure the accurate and timely closure of all contractual obligations, financial records, and project documentation.
6. Subcontractor and Supplier Negotiation:
Negotiate terms and conditions with subcontractors and suppliers to secure cost-effective contracts that meet project requirements.
Collaborate with procurement teams to evaluate and select subcontractors and suppliers based on their capabilities and competencies.
7.Correspondence:
Create trackers and databases to organize and monitor correspondence, and documentation throughout the contract lifecycle.
Ensure effective communication with stakeholders through clear, concise, and well-structured written and verbal interactions.
8.Perform other related task / duties / functions as maybe assigned by the Project Manager / Project Director.
