Job Description
We are seeking a detail-oriented and reliable Bookkeeper to join our finance and administrative team based in Subic Bay Freeport Zone, Philippines. This full-time, office-based position will coordinate directly with our overseas finance service provider while supporting the local office. The ideal candidate will manage the organization’s day-to-day bookkeeping needs while supporting internal leadership and ensuring compliance with local accounting regulations, including the specific requirements of the Subic Bay Freeport Zone.
Start Date: The position begins August 1, 2025, with a 14-day paid training period.
Responsibilities:
1. Daily Financial Management
• Maintain financial records using QuickBooks Online
• Manage banking operations including BDO Business Online Banking (BOB) transactions
• Monitor incoming and outgoing payments, encode transactions, and reconcile accounts
• Ensure daily reporting of exchange rates for HKD, USD, and SGD
2. Compliance and Reporting
• Prepare and submit basic tax withholding documentation in coordination with internal leads and external contractors
• Support compliance with Subic Bay Freeport Zone and LGU accounting and tax policies by maintaining accurate records, submitting tax documents on time, and ensuring adherence to local regulations.
• Track KPI-linked expenditures and support payroll and benefits calculations
3. Vendor & Contract Oversight
• Work with third-party finance teams to verify deliverables and resolve discrepancies
• Oversee financial coordination with key service providers
• Maintain organized records and data to ensure accuracy and audit-readiness
4. Team & Process Support
• Support the Executive Office and Operations team on budget tracking and reporting
• Assist with finance-related components of contracts and service agreements
• Create and update standard operating procedures for financial workflows
• Prepare and manage Purchase Request Forms (PRFs) for local operations and coordinate with the General Manager, Executive Director, or other relevant staff or board members as needed
5. Expanded Cash Handling and Custodial Duties
• Provide secure oversight of cash and financial instruments
• Manage daily collections, deposits, and reconciliations
• Handle bank certifications and coordinate directly with local Subic Bay banks for deposits and official correspondence with financial institutions
• Support internal cash audits and contribute to the development of cash-handling policies and controls
• Handle cash in sums which require a security escort and two-factor courier
Qualifications:
• 10+ years full-time bookkeeping/accounting experience
• Degree in Accountancy, Finance, or related field
• Proficient in QuickBooks Online, and PDF/OCR scanning & editing tools
• Familiarity with Online Philippines Business Banking (BDO, BOC, Security Bank, MetroBank)
• Familiarity with ABSS (preferred)
• Basic knowledge of Philippine taxation and BIR compliance (preferred)
• Willingness to learn of Subic Bay Freeport Zone compliance
• Able to track daily currency exchange rates (HKD, SGD, USD)
• Preferably residing in Olongapo City, near SBMA, or willing to relocate

• Excellent English communication skills
• Comfortable working with international teams and remote partners
• Ability to work independently and ensure data confidentiality
• Experienced in leading business finance and budgeting
• Skilled in process flow creation and oversight of third-party contractors
• Able to negotiate and manage overseas finance service providers
• Ability to self-commute with a valid driver’s license for a motorcycle/car
