Job Description
We are seeking a highly organized and proactive Personal Secretary to provide comprehensive administrative and personal support. The ideal candidate will be responsible for managing schedules, handling communications, and performing a variety of tasks that contribute to the smooth and efficient operation of the office and personal life of the executive.
Key Responsibilities:
*Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements
*Screen and respond to phone calls, emails, and correspondence
*Organize and prepare documents, reports, presentations, and meeting agendas
*Handle confidential information with discretion and integrity
*Maintain filing systems (physical and digital)
*Coordinate personal errands, reservations, and special requests on behalf of the executive
*Monitor and track deadlines, follow-ups, and important dates
*Attend meetings, take minutes, and summarize discussions where necessary
*Act as a liaison between the executive and internal/external stakeholders
*Perform other administrative or personal support duties as assigned
Qualifications:
*Proven experience as a personal secretary, executive assistant, or similar role
*Excellent organizational and time management skills
*Strong written and verbal communication abilities
*High level of discretion, confidentiality, and professionalism
*Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools
*Ability to multitask and adapt in a fast-paced environment
*High school diploma or equivalent (Bachelor’s degree preferred)
Preferred Skills:
*Familiarity with office management tools and practices
*Strong interpersonal skills and a friendly, approachable demeanor
*Ability to anticipate needs and take initiative
*Experience in handling both professional and personal tasks for a senior individual
