Job Description

• Act as a trusted and reliable point of contact between the executive team, employees, clients, and external stakeholders.
• Manage executive calendars, schedule meetings, appointments, and travel arrangements.
• Coordinate and organize meetings, conferences, and events, including preparing agendas, arranging logistics, and taking meeting minutes.
• Prioritize and manage incoming correspondence, emails, and phone calls, ensuring timely responses and appropriate delegation.
• Prepare and edit documents, reports, presentations, and correspondence on behalf of the executives.
• Conduct research, gather data, and provide summaries or recommendations for various projects and initiatives.
• Handle confidential and sensitive information with utmost discretion and professionalism.
• Assist in the preparation and coordination of board meetings, including drafting agendas, collecting and distributing relevant materials, and tracking action items.
• Monitor and manage executive expenses, invoices, and reimbursements.
• Collaborate with other administrative staff to ensure effective office operations and smooth workflow.
• Perform general administrative tasks such as filing, photocopying, scanning, and maintaining office supplies.
• Act as the primary liaison between the company and external legal advisors.
• Draft, review, and maintain legal documents, including contracts, agreements, and resolutions.
• Ensure compliance with applicable corporate laws, regulations, and internal policies.
• Establish and maintain relationships with financial institutions and banks.
• Coordinate the opening, closing, and management of corporate bank accounts.
• Oversee the documentation required for banking services, such as loans, credit facilities, and guarantees.
• Provide support in negotiations with banks for financial products and services.

Qualifications:
• Bachelor's degree in business administration, management, or a related field preferred.
• Proven experience supporting senior-level executives in an executive assistant or similar role, with expertise in Legal and Finance.
• Excellent organizational and time management skills, prioritizing tasks and meeting deadlines.
• Exceptional written and verbal communication skills, including professional phone etiquette.
• Strong attention to detail and accuracy in handling information and data.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration platforms.
• Strong problem-solving skills and proactive in providing solutions.
• Excellent interpersonal skills for building relationships with internal and external stakeholders.
