Purchasing Officer

KEY RESPONSIBILITIES / JOB DESCRIPTION

Vendor Selection: Identify and assess potential suppliers, evaluating their capabilities, reliability, and performance history.
Negotiation: Negotiate favorable terms and conditions with suppliers to secure competitive pricing, quality, and delivery / payment terms.
Procurement: Prepare and process purchase orders from Sales Orders, ensuring accuracy and compliance with company policies and Standard Operating Procedures. Establish spontaneous communications and relationships with other departments to secure proper endorsement of purchase requests.
Supplier Management: Establish and maintain positive relationships with suppliers, resolving any issues or disputes promptly.
Cost Control: Monitor and control procurement costs, seeking cost-saving opportunities without compromising quality. If the product cost of an alternative supplier violates optimal profitability, consult the Marketing team for approval before processing the Purchase Order.
Inventory Management: Collaborate with the warehouse team and our product specialists to ensure optimal stock levels, minimizing shortages, expired stock, and excess inventory.

Monitoring: Ensure timely updates on the status of Purchase Orders.
Quality Assurance: Ensure that purchased products and services meet quality standards and specifications.
Compliance: Ensure procurement activities comply with relevant laws, regulations, and ethical standards.
Confidentiality: Limit the information that can be disclosed to other departments and stakeholders (such as customers and suppliers as well) to prevent its misuse or unintentional infringement of specific parties.
