Job Description

The key responsibilities typically include:

1. Greeting Visitors and Clients
Welcoming visitors with a positive and friendly demeanor.
Directing visitors to the appropriate person or department.
Ensuring all visitors sign in and follow company security protocols.

2. Managing Phone Calls
Answering and directing incoming calls to the appropriate departments or individuals.
Taking and relaying messages promptly and accurately.
Handling basic inquiries and providing company information.

3. Scheduling and Appointments
Managing and scheduling appointments, meetings, and conference rooms.
Coordinating with staff regarding meeting arrangements.

4. Handling Correspondence
Receiving, sorting, and distributing incoming mail and deliveries.
Preparing outgoing mail and packages.

5. Administrative Support
Assisting in basic administrative tasks such as data entry, filing, and photocopying.
Maintaining office supplies inventory and placing orders when necessary.
Managing calendars for executives or team members if required.

6. Maintaining the Reception Area
Keeping the reception area clean, organized, and presentable.
Ensuring that magazines, brochures, and company literature are up-to-date and neatly arranged.

7. Security and Visitor Management
Issuing visitor passes and ensuring compliance with security protocols.
Notifying security of any suspicious activity or security breaches.

8. Customer Service Excellence
Addressing visitor and employee inquiries in a courteous and helpful manner.
Handling complaints or directing them to the appropriate department.

9. Event Coordination (if applicable)
Assisting in organizing corporate events, meetings, or parties.
Coordinating with vendors or service providers for events.
