Job Description

A. Systems Analysis and Design

1. Conducts regular review of organizational structures, existing policies, procedures and practices with stakeholders to identify internal control breakdowns, non-compliance to regulations, redundant and costly processes taking into consideration the organization’s risk management framework

2. Develops process improvement solutions to address identified gaps and/or facilitate efficiency and effectiveness

3. Develops effective Management Information/Business Intelligence System by designing communication flow, appropriate forms and reports to ensure timeliness, coherence and accuracy of information

4. Determines and analyzes the existing workflow by observing the methods and procedures in action, consulting other staff and studying the data output; and recommending changes to improve efficiency using process maps, flow charts, and detailed narratives

5. Collaborates with information and communications technology officers in the conceptualization of new applications by providing analytical inputs on the business policies and processes

6. Provides technical assistance to process owners in the formulation and drafting of policies and procedures to ensure alignment with other aspects of the business, organization direction and compliance to standard rules in policy-writing

7. Provides assistance to process owners in the proper accomplishment of prescribed forms and reports

8. Documents approved policies and procedures through Circulars, Guidelines, Flow Charts, etc. in standard formats and presentation

9. Conducts regular policy orientations, re-orientations and reviews with process owners and stakeholders

B. Compliance

1. Actively participates in projects for certification to ISO and other certifications, and undertakes activities to ensure compliance thereto

2. Prepares Incident Reports for all instances of non-compliance and submits the same to authorized officer/s for proper disposition.

3. Monitors the disposition and reports to the management all cases of non-compliance

4. Prepares, submits and presents to management on a regular basis data-driven reports on policies and procedures compliance, and the results of the deviations/non-compliance, including but not limited to potential risks, wastage of time and resources, and other high-impact areas of consideration

C. Records Management and Document Control

1. Develops and executes efficient records management and document control policies and procedures including, but not limited to digitization, indexing, physical safekeeping, central library management, archival, etc., thereby ensuring clear accountability, security, and real-time availability

2. Acts as clearing house for the release, recall and rescission of Standard Operating Procedures (SOP), Circulars, Guidelines, Flow Charts, Forms, circulars, memoranda and other systems documentation

3. Acts as the custodian of the company’s central library, digital and manual, of Standard Operating Procedures (SOP), Circulars, Guidelines, Flow Charts, Forms, circulars, memoranda and other systems documentation; working copies of contracts, agreements and other legal documents

D. Corporate Planning and Deliverables Monitoring

1. Participates in strategic and operational planning activities of the company

2. Prepares, submits and presents reports relative to the development of approved plans, the status and assessment of the same

3. Prepares, submits and presents to management on a regular basis data-driven reports on policies and procedures compliance, and the results of deviation/non-compliance including but not limited to potential risks, wastage of time and resources, and other high-impact areas of consideration

E. Performs other functions as directed by the management from time to time

IV. JOB SPECIFICATION

1. Minimum Educational Attainment - Bachelor's Degree in Industrial Engineering, Management or related courses

2. Actual Work Experience – Two (2) years actual work experience as a Systems and Methods, Business Process, Operations Audit Manager or similar position
