Job Description

Job Title: Liaison Officer
Department : Operations
Reports to : Crewing Manager
Location: Pascor Drive, Parañaque City

DUTIES AND RESPONSIBILITIES

1. Vessel Enrollment
-Coordinate with Business Development to gather required vessel information and documentation.
-Ensure timely and accurate enrollment of vessels in the company's database.
-Maintain up-to-date records of vessel details, including certifications, surveys, and inspections.

2. Crew Contract Processing
-Prepare and process crew contracts, ensuring compliance with company policies, client requirements, and regulatory standards.
-Coordinate with crew members to obtain required documentation, such aspassports, visas, medical certificates, etc

3. Shortlisting of Applicants
-Review and screen applications from potential crew members, ensuring they meet client requirements and company standards.
-Conduct initial interviews and assessments to shortlist suitable candidates.
-Present shortlisted candidates to the Crewing Manager for final selection.

4. Crew Checklist and Documentation
-Maintain comprehensive checklists for crew documentation, including certificates, licenses, and medical records.
-Ensure all crew members have completed the required documentation and training prior onboarding.
-Prepare crew pre-joining documentation - LOI, Guarantee Letter and Ticket

5. Client Relationship Management:
-Build and maintain strong relationships with clients and counterparts, providing excellent customer service and support.
-Respond to DMW inquiries, concerns, and feedback in a timely and professional manner.

6. Internal Collaboration
-Work closely with other departments, such as Operations, HR, and Finance, to ensure seamless delivery of crewing services.
-Participate in team meetings and contribute to process improvements and best practices.
-Performs other functions as may be assigned to him / her from time to time.

REQUIREMENTS
● Bachelor's degree in a relevant field (e.g., maritime, business, human resources).
● Minimum 2 years of experience in a similar role, preferably in a maritime manning agency or shipping company.
● Knowledgeable in maritime regulations, laws, and industry standards.
● Above-average communication, interpersonal, and organizational skills.
● Ability to work in a fast-paced environment, prioritizing multiple tasks and deadlines
● Proficient in MS Office (Word, Excel, Powerpoint) and Google Workspace.
● Familiarity with crew management software and databases is an advantage.
