Job Description
Assist in gathering, organizing, and processing documentation necessary for vendor onboarding, ensuring compliance with company policies and industry regulations.
Aid in coordinating the vendor bidding process by preparing and distributing bid documents, tracking responses, and assisting in evaluating vendor proposals to ensure alignment with project requirements.
Assist in managing and maintaining vendor contracts, ensuring accurate contract documentation, timely renewals, amendments, and compliance with terms and conditions.
Prepare, assemble, and track Purchase Orders (POs) to support vendor payment applications, ensuring all documentation is accurate and aligns with contract terms and project budgets.
Monitor and track lien waivers for all vendors, ensuring timely submission and follow-up to prevent any legal or financial issues related to construction projects.
Track and monitor the expiration dates of vendor insurance certificates and follow up as needed to ensure continuous coverage and compliance with company insurance requirements.
Document management.

Qualifications
Understanding of residential or commercial construction processes, including familiarity with common construction terminology, project workflows, and safety regulations.
Exceptional organizational abilities with a keen attention to detail, able to manage multiple tasks efficiently, and prioritize assignments to meet deadlines.
Demonstrated ability to follow through on tasks, ensuring that all assignments are completed accurately and on time.
Excellent interpersonal skills with the ability to interact professionally with vendors, project teams, and management, ensuring effective communication and resolution of issues.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a focus on document creation, spreadsheet analysis, and communication tasks.
Experienced in using Adobe Acrobat to view, edit, and annotate PDF documents, with an understanding of how to manage digital documents securely and efficiently.
Proficient in using Asana to track project tasks, collaborate with team members, and ensure deadlines are met in a fast-paced environment.
Familiarity with Buildertrend or similar construction management software to track project progress, document management, and vendor communication.
Experience using Microsoft Project to create, update, and manage project schedules, timelines, and resource allocation for construction projects.
